Who we are

Industrial Property Investment Fund (IPIF), together with its subsidiaries and affiliates, is a leading UK provider of real estate and investment management services.

Our commitment to privacy

We take responsibility to protect the personal information provided to us seriously. This statement explains how we do that. It sets out what we do with the personal information we hold, how we protect it, and it explains your privacy rights (if applicable).

This privacy policy (“Policy”) outlines the basis on which we collect, store and use your personal information. Any personal information you supply to us via our websites (and by any other means) will be treated in accordance with any applicable data protection laws (including the General Data Protection Regulation (EU) 2016/679 (known as the “GDPR”)) and other legislation intended to protect your personal information and privacy, in each case as may be amended, replaced or in force from time to time. If we hold information about you, we’ll only use this for the purposes as set out in this Policy.

This Policy was last updated on 15 January 2019. IPIF might update this Privacy Statement from time to time. When we have to do this the revised statement will be posted on this page, and where appropriate, by notification on our homepage. You should check this page from time to time to review any changes we have made.

The personal information we collect:

When we collect personal information, we are open about how we will use it.

We collect information:

  • through our website or the website of our affiliates - for example names, addresses or email details, details of your visits to our website and the resources that you access, including, but not limited to, traffic data, location data, internet log information, cookies, weblogs and other communication data.
  • from meetings with staff or business contacts, such as exchanging business cards, or collecting information at conferences or business events.
  • that you provide to us in connection with the services we provide, for example in connection with tenancy or a lease agreement.
  • that we use to validate your identity, such as a passport or proof of residency document.
  • From CCTV footage in place

Our legal basis for processing your information

We rely upon a number of different legal bases for processing personal information - these include processing personal information where it is in our legitimate interests to do so, where this is necessary for the fulfilment of a contract or where the processing is necessary to carry out our obligations under employment law. Where we rely on our legitimate interests, this means that we use personal information to run our business and to provide the services we have been asked to provide. We only collect information that has been supplied voluntarily, you do not have to provide us with personal information. However, if you do not provide us with information we need by law or require to do work, we may not be able to offer certain products and services.

How we use your information

We use your personal information in compliance with all the relevant laws and may use it in one or more of the following ways:

  • We may use the personal information of tenants or other natural persons you have supplied us with to carry out work such as lease management on your behalf.
  • We may use the contact information you supply to respond to your requests and communicate with you.
  • We may use identification verification documents to meet with regulatory and legal requirements to verify who you are as a condition of providing IPIF services and products.
  • We may use personal financial information to assess your eligibility for IPIF products and services.
  • Where you expressly opt in, we use personal information to provide you with marketing and advertising about IPIF’s services, however you can opt out of this at any time from our marketing department info@ipif.com
  • (Where we have legitimate authority to do so) personal information may be used to inform you of services that may be of interest to you from IPIF.
  • Personal information is used to make your online experience as smooth as possible – for example by setting cookies and tailoring what you see on the website.
  • Personal information may be used to administer the online application process, identify general customer trends, track your internet browsing (in accordance with our Cookie Policy), improve our service to you and communicate with you.
  • Personal information may be used to keep accurate business records
  • Personal information may be used to understand your needs and provide you with a better service.
  • Personal information may be used to comply with our legal health and safety obligations (for example if you are injured at one of our managed premises).
  • Personal information may be used to safeguard the security of our premises and those we maintain for third parties – for example through the use of CCTV.

 

Whom we share personal information with

We may give general statistics about our customers, sales, and related site information to other companies however these statistics will not include any information that personally identifies you, except as we have stated below. In particular, we may share your personal information with third-parties such as other entities within our group of companies or third party service providers.

We may share your personal information with:

  • IPIF employees who require it to perform their jobs.
  • Organisations that support the products or services we provide to you.
  • Anyone you give us permission to share it with.
  • Official bodies to detect and prevent criminal activity e.g. money laundering, theft, fraud, terrorism, cybercrime.
  • Group companies - we may share your information with other entities within our group of companies including for example Legal & General Property Limited (no 02091897), Legal & General Investment Management Limited (no 2091894), LGIM Real Assets (Operator) Limited (no 5522016) and Legal & General Group PLC (no 1417162).
  • Third-party service providers - we may, where necessary, share your personal information with third-party service providers, suppliers, partners, associated organisations and agents, for example, providing personal information to repair and maintenance contractors.
  • Third-party advertisers - we may share your personal information with other entities for digital advertising purposes (such as Facebook or Google) to assist us in finding other people with similar interests to our current customers and to bring you relevant adverts on our websites.
  • Where required to do so - in exceptionally rare circumstances, we may be required to disclose your information under a court order or if requested by the police or other regulatory or governmental authority.

We will never sell your personal information and we take steps to keep your details safe and secure.

Stopping us contacting you

If you have provided us with consent to supply you with marketing and information, you can withdraw your consent at any time by email to  info@ipif.com.

Where we keep and process your information

We might transfer and store the information we collect from you outside the European Economic Area (EEA). It may be processed by staff or our suppliers outside the EEA. For instance, we may store certain information about you on servers which are located in the USA. When we do this we aim to make sure the information is secure and properly protected. In order to safeguard your information, we ensure that the entity that we are transferring your information to either:

  • entered into the EU Model Clauses with us;
  • entered into Binding Corporate Rules with us; or
  • is listed on the EU-US Privacy Shield.

Keeping your information safe

We commit to maintaining the deployment of appropriate security to protect personal information wherever it is located, and whether it is in electronic or manual form. To do this we may use a variety of mechanisms depending on where the information is stored and the relationship between IPIF and any recipient organisations.

Where applicable you may have the following rights over your personal information:

Request a copy of the information we hold

You can request access to the personal information we hold about you (commonly referred to as a “data subject access request”). To do so please contact us by email at info@ipif.com. There is no charge for us providing this information to you. You can also ask for information that you have provided to us in a machine-readable format, so you can transfer it to another organisation if you want to. You have the right to request the transfer of your personal information to another party.

Ask us to not use your information

If for any reason you do not want us to hold or use your information please contact us by email at info@ipif.com. We may need to keep some of your information for legal and business reasons, for example to comply with a regulatory requirement.

Have your information corrected

If you think the personal information we hold is wrong or incomplete contact us at info@ipif.com and we will check and correct it if necessary. We are committed to holding personal information that is accurate and current.

Request erasure of your personal information

This enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal information where you have exercised your right to object to processing.

Object to processing

This enables you to object to the processing of your personal information where we are relying on a legitimate interest (or those of a third-party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for direct marketing purposes.

Request the restriction of processing of your personal information.

This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it.

Withdraw your consent

You have the right to withdraw your consent for us to use your personal information at any time.

How long we keep your information

We endeavor to keep your information for as long as we need it to fulfil the purpose for which we collected it or for legitimate business or legal reasons. Sometimes this will require us holding on to your information after the end of our contract with you (for example, to fulfill our legal obligations or accounting requirements). In determining the appropriate length of time to hold your personal information, we consider a variety of factors such as the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.
